What you do here
Create clients and maintain person data (first name, last name, date of birth, care level), contact (phone, mobile, emergency contact) and address. The status controls whether a client is actively cared for („Active“), temporarily paused („Paused“) or ended („Ended“) – ended clients are kept and findable without getting in the way. Use „Assign caregiver“ to set the responsible primary caregiver. This master is the care anchor and describes the person being cared for – visits, routes and care documentation build on it.
Tips
Use the list tabs and filters to quickly find active clients, a specific responsible caregiver or a care level; search matches name and city. Always record an emergency contact and use the notes for access hints (key, lift) and care details. Admin and dispatcher can create, edit, delete clients, set the status and assign the caregiver; caregivers only have read access to list and detail.
Legal requirements
Care services must be documented and evidenced under SGB XI §113 (standards and principles for safeguarding care quality) – the basis for audits by the German Medical Service (MD/MDK). Record the date and content of the physician’s order (e.g. home nursing care) in the „Care/order“ section. Ended clients are not deleted but retained: in the „Retention/audit“ section enter under „Retain until“ the end of the statutory retention period – generally ten years after care ends. The „Updated by“ field evidences who last changed the record. Note: per-caregiver restricted read access (each caregiver sees only their own clients) follows in a separate migration and is not yet active here.
Data protection
Client data contains health data (care level, physician’s order, care notes) and therefore falls under the special categories of personal data per Art. 9 GDPR – it enjoys heightened protection. Only collect and process what is necessary for care (purpose limitation and data minimisation, Art. 5 GDPR), and share data only with authorised persons. Do not retain data longer than necessary: once the statutory retention period („Retain until“) has elapsed, ended records must be deleted in a data-protection-compliant way. The „Created by“ and „Updated by“ fields make access traceable.
