What you do here

Use “New appointment” to add a service: pick a vehicle (or “Fleet-wide” for all), a type and a due date. “Schedule” sets date, time and workshop, “Confirm drop-off” records that the vehicle was handed in, and “Complete” closes the appointment with its cost.

Understanding the status

The status shows progress: Open (not scheduled yet), Scheduled (date set), Dropped off (vehicle at the workshop), Completed (done). The “Due” (next 30 days) and “Overdue” tabs help you stay on top of things; past due dates are highlighted.

Tips

If you set a “Cycle (months)”, completing the appointment automatically creates the next follow-up - handy for inspections, servicing and similar. Maintain workshops and service types once under “Workshops” and “Service types”; then you can pick them everywhere. Drivers can see appointments and only confirm drop-off.

Legal requirements

As the vehicle keeper you are responsible for keeping your fleet roadworthy (keeper liability, §7 StVG, German Road Traffic Act). Mandatory inspections include the periodic technical inspection (HU/MOT) on fixed cycles under §29 StVZO (commercial vehicles usually yearly) and the annual occupational-safety inspection under DGUV Rule 70. Mark such types as “Mandatory” under “Service types”; they are highlighted as mandatory in the list and calendar. When completing an appointment, record who performed or signed off the inspection via “Performed / signed off by” - this is your duty-of-care evidence in case of damage. Keep inspection records; use “Archive” instead of deleting so the record is retained for the legal retention period.

Data protection

“Performed / signed off by” and “Created by” link a person to the appointment (personal data, GDPR). Only record what you need for the duty-of-care evidence and share this link only with authorised people. If an employee leaves, the record is kept but the link is removed automatically.
