Care routes

The route plan is a care worker’s daily schedule: one route with the ordered sequence of client visits – as a list or calendar.

What you do here

Use "New route" to create a route for a date, assign it to a care worker and pick the shift (early, late or night). In the detail view you add the stops: each stop is a client with a planned time, duration and note. The sort order defines the sequence of visits. While on the road you advance the status of the route and each stop.

Tips

Use the tabs and filters in the list to quickly find today’s, active or completed routes. The assigned care worker may advance the status of their own route (Planned → On the way → Done) even without full management rights. The calendar shows routes by date at a glance.

Legal requirements

The route plan also serves as proof of service under the German Social Code SGB XI (§113, standards and principles of care quality). For each stop, document not only the plan but the actual service delivered: record the actual times („arrived at“ and „departed at“) and tick „service confirmed“ once the visit has been performed. Such records must usually be retained for 10 years. Routes are therefore not hard-deleted but archived (soft delete): „Deleted at“ marks the archival and „Retain until“ holds the statutory end of the retention period. Whoever last edited a route is logged under „Changed by“ for an audit trail.

Data protection

Stops, notes and proof-of-service records contain clients’ health data — special categories of personal data under Art. 9 GDPR. Collect and display only what is necessary for care (data minimisation) and never disclose it to unauthorised persons. Access is role-based via the permission matrix; an additional restriction of read access to the assigned care worker is added separately. Archived (soft-deleted) routes are kept only for the statutory retention period and must be removed afterwards.
