Data room

This is where files go out — to a customer, an authority, a subcontractor. One room per case, with a deadline, and the log shows who downloaded what and when.

What you do here

You create a room, attach it to the other party and upload the files. Anyone with a portal account sees their room right away. Anyone without an account gets a link with an expiry date — and, if you want, a password you tell them over the phone.

A deadline instead of tidying up

Every room and every link expires. That is deliberate: an exchange nobody ends is still open years later. A link never outlives its room. To stop earlier, revoke the link or close the room — both take effect immediately.

What revoking can and cannot do

A revoked link opens nothing any more. Whoever downloaded the file before still has it — it is on their machine. That is why the log records every download: it answers “did they get the drawings?”, and in a dispute that answer is worth money.

Data room or documents?

Documents is the company’s own file: what you keep, with retention periods and full-text search. The data room is the handover: case-based, time-limited, with a recipient. Anything meant to stay gets moved into Documents.
